The Challenge

Preserving financial integrity across six years of history

The recruiting firm needed its Tally accounting history aligned with Odoo’s Indian localization, with reliable links between source vouchers, ledger balances, employee costs, and supporting documents. The migration required detailed interpretation of Tally exports and reconciliation across each reporting period.

Interpret Tally’s debit and credit formatting and consolidate bank-book records into 33 complete transfer vouchers.

Maintain unique transaction identities despite voucher numbering that restarts each financial year.

Align 132 source ledgers with 78 Odoo accounts, 53 partners, and four bank journals while preserving accountant review.

Preserve historical GST and TDS ledger balances and distinguish that scope from tax-tag-based statutory reporting.

1,977

Entries migrated

37 invoices, seven bills, 1,085 bank entries, 33 transfers, and 815 journal vouchers.

269

Balances reconciled

Ledger and group balance checks against Tally returned zero mismatches.

210

Supporting files

Document scans filed against entries or partners, creating 224 attachments in Odoo.

Module Mapping

Each legacy workflow was mapped to an Odoo module

The mapping connects the source records and workflows to their Odoo destination, with the project-specific impact shown below.

Implementation Methodology

From discovery through implementation and verification

Our delivery combined source-data analysis, localization-aware account mapping, and independent reconciliation before and after import. Stable identifiers and reviewable mapping files provided traceability from each Tally voucher to its Odoo record.

  1. 1

    Source data

    Tally data reconstruction

We interpreted export structures and combined register and bank-book data to reconstruct complete accounting vouchers.

    Deliverable: Structured source dataset

  2. 2

    Mapping

    Localization-aware mapping

We mapped ledgers to Odoo accounts, partners, and journals, with stable identifiers derived from financial year, voucher type, and number.

Deliverable: Reviewable account and record mappings

  3. 3

    Validation

    Independent source reconciliation

We validated converted files against the vouchers and reconciled the results with Tally’s Trial Balance and P&L.

    Deliverable: Pre-import reconciliation

  4. 4

    Migration

    Controlled import and verification

We loaded accounting records in controlled batches and reconciled Odoo against the conversion files and source reports.

Deliverable: Posted and verified accounting entries

  5. 5

    Integration

    Financial record completion

We rebuilt available analytic tags, integrated supporting files, and matched the 44 migrated invoices and bills with payments.

Deliverable: Accessible records and settled documents

Results and Evidence

Measurable results for the client

The firm has operated in Odoo since September 2026, with 1,977 historical entries migrated, 269 ledger and group balances reconciled, and all 44 migrated invoices and bills settled. Supporting documents and available employee cost allocations are accessible within the same environment.

1,977 vouchers and 5,204 converted lines reproduced the source vouchers with zero differences.

269 ledger and group balances reconciled to Tally with zero mismatches; annual profit matched for the six full financial years.

Closing bank, debtor, creditor, and balance-sheet totals matched the source checks.

All 44 migrated invoices and bills were settled, and exchange differences on settlement were posted through Odoo’s exchange-difference journal.

Scope and accounting review

  • Historical tax coverage comprises reconciled GST and TDS ledger balances. Tax-tag-based statutory reports were not recreated for migrated periods; new transactions use the applicable tax treatment from go-live.
  • The reconciliation results above cover the stated checks. A separate review of 40 Trial Balance lines, including seven accumulated-profit presentation differences, remained open at the reporting date.
  • Additional source detail is required to complete cost-centre tagging for 11 staff and 223 lines.
  • Exchange differences on document settlement were posted. Closure of the separate INR 102,187.50 foreign-exchange review item remains unconfirmed.
Case Study FAQ

Common questions about this Odoo project

How much Tally history was migrated?

Six full financial years, starting with FY 2020–21, plus FY 2026–27 activity through August 2026. Odoo has been the live system since September 2026.

How were GST and TDS records handled?

We mapped and reconciled historical GST and TDS ledger balances. This preserves the accounting evidence for migrated periods. Historical tax-tag-based statutory reports were outside the delivered scope; new transactions are recorded with the applicable tax treatment from go-live.

What happened to the scanned documents?

All 210 files were made accessible in Odoo, producing 224 attachments. Files confidently matched to vouchers were attached there; supporting paperwork and uncertain matches were filed against partners.

How were migrated invoices and bills reconciled with payments?

The team matched receipts and payments against all 37 customer invoices and seven vendor bills. All 44 documents were settled, with settlement exchange differences posted through Odoo’s exchange-difference journal.
